Technical Services Minutes
April 20, 2000
Present: Xudong Jin, Carol Holliger, Judy Orahood, Kim Strain, Barbara

1. Head of Technical Services Report:
- The Technical Services staff will begin meeting monthly, before
the all staff meeting.
- Tuesday, April 25 the Technical Services staff will go to lunch.
Judy will drive.
- Statistics are due to Xudong and Theresa the first week of the
month.
- Staff will introduce Xudong to their areas in an intensive introduction
to Technical Services. This will begin April 24 at 2 p.m. with Carol
Holliger. Theresa will attend. Other staff members will follow in
this order: Barbara, Judy, Kim dates to be announced.
- Xudong will be attending the III User's Group meeting from April
29-May 2nd.
- Carol Holliger will continue to send thank you letters to donors
of gift periodicals. Xudong will send thank you letters to donors
of gift books.
2. Status reports:
* Acquisitions
- In April - Titles ordered: 793 Titles received; 650 Slip plan
books received: 94
- Orders so far this year: 4,000 includes firm orders and slips
- Order cut off date - passed
- Slip plan cut off date - April 20
- Endowed orders - get in right away
* Cataloging
- In March - Titles cataloged: 1097; Volumes cataloged: 1322; Documents
cataloged: 720
- Cataloged so far this year: Titles 9,926; Volumes 10,762; Documents

- Who catalogs what? Judy catalogs - non-DLC, original, AV, CRC
at CRC, Documents, Women's Resource Center and Gay, Lesbian, Bi-Sexual
Resource Center and helps out with copy cataloging. Kim catalogs
copy cataloging which includes Historian, Music, Biology, Science,
CRC, Reference, and Special Collections. Kim adds continuations
for Documents and Standing Orders. Government Documents student
workers update OCLC records and print labels, and add items. Carol
Holliger catalogs the periodicals. Carol Hallenbeck catalogs CD's
and scores for the Music Library.
- Kim reported she ordered 113 titles, copy cataloged 433 items.
She added 412 Historians in March and April. She created 600 items
or check-in records for paper, microfiche, CD and dailies for Government
Documents.
- The question what are check in records used for came up. They
are used for serials, documents, periodicals and a few standing
orders. Should we be buying more? Since we are ordering more books
this year, we may need to buy more order records, too. Xudong will
investigate this issue.
* Serials
- OWU will be the library of record for 34 JSTOR titles for the
consortium. Carol will be checking to make sure we have room for
the 34 titles. We will be trying out ISI Basic Index. Carol is setting
up the trial and Tom and Deb are overseeing it. Carol has a list
of on the fly records she is cleaning up. She is continuing to work
on the project to get all our microfilms and paper items on separate
OCLC records in CONSORT. Currently, a test of EBSCO online is going
on. There are 50-60 titles which have the 856 field that links to
the EBSCO Home Page. They will need cataloged if we use them. Carol
and Xudong will be doing that.
3. Review and update Objectives
- Objectives were reviewed and updated.
4. Summer projects
* Gift books
- 2,500-3,000 gift books which are stored in a closet on the third
floor will be started this summer. If a Government Documents Manager
is hired the gift books will probably be done by December 31, 2000.
* Dewey books
- 30,000-40,000 Dewey books stored in boxes on the second floor
- Xudong will write up a proposal on how to handle those books.
This project will start this summer.
* Others
- An external fund code for the electronic periodicals is needed
before the fiscal year begins. This will make it possible to keep
track of the spending for different formats of periodicals.
* More student help
- We need more student help, but it probably isn't possible based
on the budget.
* Tech. Services budget for next year
- We will discuss this at out next T.S. meeting. We should be thinking
about what we need put in the budget.
* Catalog EBSCO Online titles
- The work group looking at EBSCO Online has not yet made a decision
regarding whether we will access our "free with print"
e-journals through EBSCO Online. If that decision is made, Xudong
and Carol will work together to catalog these e-journals.
* Historian books pick up
- Kim will set up a student to pick the books up the 1st week of
each month. Xudong will let her know when to start.
* Technical Services Web Page

* Other Business
- If you need to call in sick or for another reason, call Xudong
at extension 3258. He will write it on the calendar in Technical
Services and on the brown calendar in the hallway
- We will continue with the last person to leave locking up the
department and turning off the copier in the mailroom. Students
can lock up if they are last.
