- CONStor Confab visit on Dec. 15
The group discussed what would be sent to CONStor.
Technical Services staff major job will be to process the materials
sent to CONStor. We will change status to "t" and location
to "storo" on CONSORT, multiple copies will have the
ICODE1 will be changed to "500." Boxes will need to
be saved so we can pack the books and send them to the storage
facility in Newark.
Carol Holliger went on the visit also. She reported that security
of the facility is an issue. She is concerned that scholars doing
research won't be able to go to the facility and browse the collection.
She said the processing room is downstairs, and there is no elevator.
The items will be arranged by size on the shelves. (in Michael
Upfolds procedures, he still uses "by size")
- CONSORT CD meeting on Dec. 7
Xudong's CD assignment is to find out how many formats materials
(ie, maps, videos, books, etc.) there are on CONSORT. He is figuring
out how many multiple copies we have of items among the schools.
He is also finding out the circulation policies of each. He will
then make a proposal to reduce multiple copies, and allow students
and faculty to borrow from each other easier.
- CONSORT Cat/sys meeting on Dec. 11
The cataloging/systems group is discussing work done by all Technical
Services Staff. The group is brainstorming ideas of how the schools
can work more cooperatively. Xudong has asked the Beeghly T.S.
staff to send him our ideas based on the following:
- Philosophy of cataloging/role of catalog
- Standards
-Processes/procedures
-Policies
- Ideal staffing
-What has to be done locally and centrally
Discuss each idea separately. Have your thoughts to him by
Friday, December 22, 2000. (Look at the Cat/Sys committee minutes
Xudong forwarded to you, they are dated 12/11/00.)
- Dewey Project Update
Reclassification of the Dewey Books will start in January. The
first group of books to be reclassified are the books marked priority.
The next group of books will be the books requested for Special
Collections. Regular reclass will be next. The books may be reclassified,
marked with the CONStor location and housed in Newark.
Judy reported that since working on some books which are in
similar condition to the Dewey books she has been to the doctor
and is now on allergy medication due to a dust allergy. She
will research filters that may be used in Technical Services
to help with dust allergies since she will not be the only person
bothered by the dust.

Barbara reports: In November 207 firm orders were placed, 109
slip orders were placed, 298 titles were received, 269 slip titles
were received and 47 Historian gifts were added.
We have started to receive Vinabind books. Barbara says they
look ok, but all books are not being covered, some due to size,
printing on inside covers and some that have CD's inside.
She says we are still getting lots of paperback books through
the slip plan. Recently, out of 20 books received 10 are paperback.
We would prefer getting hardback.
Barbara will be on vacation from Dec.21-Jan. 2. She will do the
end of the month procedure when she returns.
Judy reports: In November 953 volumes and 728 titles were cataloged.
This number includes documents. There were 311 new documents cataloged.
She cataloged 355 CRC books at the CRC and 48 at Beeghly for a
total of 403 CRC books cataloged in November.
A new student, Sumi will be trained on Friday. She will be working
over the break. Allison Ellenberger will start on January 2, 2001.
Hopefully, the processing backlog will be cleared up when school
begins.
Judy will be on vacation from December 26-28.
- Cataloging documents and book repair
Joyce reports: She will be supervising Joy's documents students
while Joy is on leave. This involves checking their work, claiming
items not received and claiming shipments not received at the
end of the month.
Joyce reported she checked in 137 documents and updated 211 records
in November. She repaired 20 books. She has been reading materials
about book repair. She attended workshops
at Ohio University and Wooster
on book repair.
Carol reported that the EBSCO bill she quickly processed had
to be reprocessed due to an EBSCO error(dates of coverage were
omitted). She went through and made each correction one at a time
to avoid errors.
The Union List is done. She will now be using FrontPage to update
this list instead of EXCEL. The updates will be done monthly.
Since the Consortia follows the national standard of having separate
records for each format Carol has been working on cleaning our
records for paper and microforms up. She now has 80% of the records
done.
Carol is working on evaluations for 13 student workers. She is
meeting with each one and then setting up a schedule for next
semester.
Carol will have four hours per day student help over break.
As of January 2001, CRC periodicals will be checked in on CONSORT
rather than in the Kardex file.
CRC Periodicals are now received in Beeghly.
Carol will be on vacation the afternoon of December 21, 2000.
- OH5 Gov Docs meeting on Dec. 18, Orahood and Laurence
Judy and Joyce attended the Government Documents meeting held
at the College of Wooster. From 9:30 - 12 they attended a book
repair workshop given by Sue Dunlap who repairs materials at Wooster.
They were given several pages of procedures which they learned
how to sew together and apply covers to.
Ellen Conrades report, given by Margie Powell let us know that
so far no funding for the salary of project coordinator has been
found. The position ends in June 2001. She will continue to look
for grants until January 1, 2001. After that she will be back
on the project full time.
Documents Data Miner 2: Evaluation for Nan Myers. Margie Powell
found a "point person" for each school and reported
them to Nan Myers. She has not heard back. Judy Orahood is the
point person for OWU. After we are told the passwords there is
a list of searches we should do to test the Data Miner.
Someone (Judy) will compare our cataloging assignments to the
list of cataloging assignments to make sure the online version
matches.
The CRC Project is complete except for a few titles which are
still checked out. Kimberly Strain will mail those titles plus
any new titles to Judy who will catalog them and return them to
CRC. There were 4,155 retrospective items cataloged. As of December
15 there were 4,797 CRC items on CONSORT since we are also cataloging
new titles received through orders or gifts to the CRC.
